Define the system boundary
Keep registration, ticketing, attendee marketing, and the master event record in Cvent. Use Evencue for private request casework, human decisions, service plans, provider and onsite handoffs, confirmation, and outcomes.
Start with a controlled import
Export only the required fields, validate column mapping, preview changes, isolate row errors, preserve source references, and make the batch idempotent and reversible.
Design for sync failure
Record the last successful cursor, mapping, error, replay, and disconnect behavior. Manual entry and CSV import must remain available if the connector fails.
Decide whether you need an alternative or a companion
If the unmet need is ticketing, registration, agenda publishing, attendee marketing, mobile engagement, exhibitors, or general conference reporting, evaluate event-platform alternatives against those jobs. If the unmet need begins after an accommodation answer is collected, replacing the event platform may create unnecessary migration without solving fulfillment. Test the request-to-closeout workflow separately and keep Cvent where it remains the better system of record.
Map fields by purpose
Define the source event, attendee reference, affected dates or sessions, participation format, request response, contact preference, consent, update timestamp, and source status needed to create or update a case. Do not import marketing history, payment information, unrelated profile fields, or unrestricted attendee exports. Record the mapping version, importer, preview result, row errors, and source identifiers.

Test the middle and the finish
A successful import is only the start. Test clarification, authorized human decision recording, several services on one request, provider and finance handoffs, requester confirmation, agenda-change impact, day-of state, incidents, delivery evidence, discrepancy handling, closeout, retention, and export. The evaluation should fail if the workflow ends at a custom field, task, inbox, or spreadsheet row.
Keep decisions human and evidence explicit
Evencue records decisions made by authorized organizers and coordinates their event-specific consequences. It does not determine legal reasonableness, medical validity, entitlement, or venue certification. Provider and onsite views receive only the information required for their task.

Does Evencue replace Cvent?
No. It complements Cvent by managing the accommodation fulfillment work after registration.
Is a direct Cvent connector required?
No. Teams can activate with manual entry and controlled CSV import. Connector availability should be verified for the deployment.
What should be imported?
Only the event, attendee reference, affected session or dates, request fields, communication preferences, consent, and source identifiers needed for the accommodation workflow.
